SubSync ("we," "our," or "us") values your privacy and is committed to safeguarding your personal information. This Privacy Policy explains how we collect, use, and protect the information you provide when using our application, designed to support grassroots sports teams in managing their football clubs.

We may collect the following types of information to provide and improve our services:

Personal Information:

• Name
• Email address
• Phone number
• Date of birth

Device Data:

Information about your device, such as IP address, operating system, push notification token and browser type.

Club-Generated Data:

Player statistics, match reports, goals, assists, and other game-related data-generated through the app.

Payment Tracking Data:

Payment statuses and related tracking details.

(Note: We do not collect or store payment card details; these are handled directly by Square Payments if used by your club.)

Other Data:

Non-descriptive operational data relevant to the functionality of the app.

2. How We Collect Information

We collect information primarily through user input within the app. If a club chooses to integrate Square Payments, additional payment-related data may be accessed via API integration.

3. How We Use Your Information

We use the information collected for the following purposes:

• To provide services, including managing club fixtures, player data, team selection, and payment tracking.
• To improve user experience through analytics and user feedback.
• For potential future marketing, advertising, and personalisation purposes.

4. Sharing Your Information

We do not share your data with third parties except with the following technology partners required for app functionality:

• Square Payments: For clubs that choose to integrate Square, payment tracking details may be shared via API.
• AWS (Amazon Web Services): Data storage and encryption services.
• Analytics Tools: Data collected for improving business decisions and app performance.

5. Data Storage and Security

All data is stored securely on an Amazon Web Services (AWS) cloud database, leveraging AWS's encryption technology.

Payment data is handled directly by Square and is not stored or managed by SubSync.

6. Data Retention

We retain user data indefinitely to ensure continuity of service. Users can request account deletion or data removal at any time (see Section 8).

7. User Rights

You have the following rights regarding your data:

• Access: Request a copy of all data we hold about you.
• Deletion: Request account deletion and removal of personal data.

To exercise these rights, please contact SubSync through your club's representative.

8. Cookies and Tracking

We track user activity only within the SubSync app for service functionality.

For clubs using Square integration, certain data is shared through Square's APIs, subject to the club's agreement.

9. Children's Privacy

SubSync is not designed for users under the age of 16; therefore, we will treat all user data as those above that age.

10. Legal Compliance

SubSync operates in compliance with UK data protection laws, including the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Users will be notified of significant changes via email and in-app notifications.
